Compliance with an audit trail
Who was certified, when, and until when — with expiry dates that enforce recertification windows on their own.
Recognition employees share
One-click "Add to LinkedIn" turns an internal award into employer branding.
From HR's own mailbox
Certificates arrive from your address through your connected mailbox — internal mail that looks internal.
The spreadsheet you already have
The HRIS export is the input: upload, map the columns, send — or schedule for the all-hands.
Recertification runs itself
Set the validity of a compliance certificate once. The calendar shows who expires when, the reminder emails go out before the date, and the verification page changes standing on the day.
One workspace, every department
Safety, onboarding, data protection and years of service each get their own template and list, sent from the address the department already uses, with one report per batch for the audit file.
A typical run
- 1
Export from the HRIS
Take the completion report from your HR or learning system as CSV or Excel. Names, emails, course, completion date and manager are the usual columns.
- 2
Map and preview
Upload the file, map the columns to the template fields once, and preview a few certificates before anything is sent. The mapping is kept for the next round.
- 3
Send or schedule
Send now from HR's own connected mailbox, or schedule the batch for the all-hands. Each employee's outcome, sent, delivered or retried, is in the batch report.
- 4
Renew on time
Certificates with an expiry appear on the calendar. Reminders go out ahead of the date, and the recertification round starts from the same list, filtered to whoever is due.
What teams ask before they start
Can this feed our audit or compliance file?
Every batch produces a report with each employee, the certificate ID, the send outcome and the timestamp, exportable as CSV. Each certificate's verification page shows its standing, valid, expired or revoked, so an auditor can check any one of them without asking HR.
Do employees need an account to receive or share a certificate?
No. The certificate arrives as a PDF by email with a link to its public verification page. Add to LinkedIn is one click from that page, and the Open Badges assertion is there for anyone who collects badges.
Can different departments send from their own addresses?
Yes. Connect Gmail or Microsoft 365 by OAuth, or any SMTP server, and pick the sender per batch. Sending is paced to the provider's limits and fails over to a second relay if the first one has a problem.
What happens when someone leaves the company?
Revoke the certificates that should not remain valid, and their verification pages show revoked from that moment. Everything else stays verifiable, so a former employee can still present a genuine training certificate to a new employer.
